Position Overview

This position provides comprehensive administrative support for the Plant Manager, Human Resources and Continuous Improvement Departments and other departments as needed, in a lean manufacturing environment. Incumbent must demonstrate the highest commitment to internal customer service, confidentiality and accuracy in all work.

Responsibilities

· Maintains a working knowledge of the company’s Learning Management System, the site and its organizational structure, policies, and procedures.

· Assists Human Resources with various administrative needs including record retention tasks, assisting with new hire onboarding activities, etc.

· Assists HR with the planning and implementing of employee events, including luncheons, company picnic, holiday parties, retirements, etc.

· Perform as site subject matter expert with the SABA learning management system. Manage and maintain all training documentation, records and files, both electronic and manual. Ensure training documentation is assigned to the correct course code within SABA and that the master training matrix and course periodicity is accurate and up to date.

· Act as key point of contact for all training-related information required during regulatory inspections, and internal, quality, customer and safety audits.

· Partner cross-functionally with the Quality Department, supervisory and management personnel to ensure consistency of document control procedures. Support document control within the eDMS/Agile systems. Maintain the site’s master SOP and policy documentation digitally with appropriate signatures and departmental numbering, once approved through the Quality Department.

· Provides clerical support for the EHS Manager by coordinating monthly safety trainings and maintaining a library of training materials.

· Monitors the distribution of security badges for all third parties onsite, i.e. contractors, visitors, vendors, etc. Coordinates this activity with HR’s badge processes for employees and temporary workers. Conducts compliance audits to ensure onsite security and integrity of the system.

· Collects supervisory weekly report material and related KPI’s to develop the bi-weekly plant newsletter. Adds content as needed to cover current onsite activities. Publishes and distributes in paper form throughout the facility.

· Maintains an overall good working relationship with all department managers and supervisors to support plant operations. Specifically maintains familiarity with Lean manufacturing principles, the plant food safety program, basic HACCP principles and safe work requirements, to ensure compliance as the above duties are discharged.

· Provide clerical support for the controller and accounting team.

· Manage and create slides for the plant digital communication screens Bright Signs for all the functions as requested. Represents the site as main point of contact for the corporation’s digital software program.

· All other duties as assigned.

Knowledge, Skills & Abilities

· Requires a minimum of a high school diploma or equivalent GED, with an Associate degree preferred and/or an equivalent combination of experience and higher education that could likely provide the required knowledge and abilities needed to perform the job.

· 3-4 years minimum clerical experience, preferably in a fast-paced manufacturing or industrial plant environment

· Experience with training software and/or learning management systems is highly desirable.

· Strong degree of accuracy and attention to detail

· Excellent interpersonal skills – ability to build positive, professional relationships at all levels of the organization.

· Ability to work independently on projects and assignments.

· Excellent organizational/time management skills

· Excellent communication skills.

· Knowledge of business practices and procedures.

· Strong proficiency required in Microsoft Suite, i.e. Word, Excel, PowerPoint,ect.
