Role Accountabilities and Responsibilities      

  • Manage calendars, make travel arrangements, process invoices and mail, file, coordinate meetings, and answer phones.
  • Maintain the Internal Audit and Treasury intranet sites on Click.
  • Utilize Microsoft Office products as necessary to generate PowerPoint presentations, create detailed excel spreadsheets, correspondence, and reports.
  • Utilize function-specific software to extract reports and enter data as necessary. 
  • Prepare, reconcile, and process expense reports as necessary and keep a detailed budget tracking all cost center expenses.
  • Maintain office equipment and supplies.
  • Assist and provide coverage for other administrative assistants in Finance/Accounting as necessary.
  • Audit specific support:  Utilize survey software (Zoomerang) to create and prepare three quarterly management certifications and extract reports for the Audit Director.  Maintain a summary of certification data on the Internal Audit intranet site. Create other surveys and reports as needed by the Audit Director. Assist Audit Director with the Audit Committee meeting package for the Board of Directors. Assist Ernst & Young and Deloitte auditors with setting up meetings with management and provide information, documents and records they request.
  • Treasury specific support:  Scan wire requests daily and maintain on a shared drive for Treasury and Accounting. Maintain insurance policy files and scan all insurance policies to the Treasury intranet site. Assist with preparation of yearly pension reports of outside audit firm.
  • Finance specific support:  Provide assistance with system inputs for coupons, SKU maintenance, monthly sales reporting, quarterly reporting, vendor request forms, invoice and PO processing.

Education and Experience                                                          

  • High School Diploma with 3 years related experience, or BS/BA with related experience.
